What is the context of this article?
Administrative reminders are designed to act as prompts during the booking process for patients linked to a specific company. These reminders ensure that booking operators are aware of any special instructions related to patients without the need for data capture. In these cases, it is useful to be able to present relevant information before an appointment slot is chosen.
Enabling Administrative Reminders
To enable this feature, go to Admin > Configuration > Booking and enable administrative reminders.
Setting Up Administrative Reminders
Once Administrative Reminders are enabled, you can create and manage them as follows:
1. Company Record pages will have a new section titled Administrative Reminders.
2. You can enter free text into this field, including line breaks and other formatting.
3. The text entered saves automatically when you 'blur' or click out of the field, eliminating the need for manual saving.
Viewing Administrative Reminders
Administrative reminders can be viewed in four locations:
1. Company Home Page: Reminders can be directly viewed on the company's home page.
2. Patient Record: Reminders are visible against a patient record linked to the company (e.g., employed or insured by that company).
To see this:
- Add the Administrative Reminders section to the Patient Home Page layout:
Layout>Layout Sections>Company Administrative Reminders
- Once added, reminders will appear as read-only on the patient home page, organized by company.
3. During Booking:
- Administrative Reminders are shown when making a booking for a patient if the payer for the appointment is a company with configured reminders:
- Changing the payer during the booking process will refresh the reminders presented:
4. Appointment Home Page:
- Once a booking is made, the administrative reminders are visible on the appointment home page.
- If an appointment includes services paid for by more than one company, administrative reminders from both companies will be displayed.
Administrative Reminders provide a method for conveying important booking-related instructions to operators, ensuring that all relevant information is readily available during the booking process. This improves the overall coordination and communication between booking operators and clients.
