Hi everyone, 

This month, we’re introducing key updates that enhance the accuracy and transparency of our Clinical Decision Support (CDS) system for users of the SNOMED coding system. These improvements are a direct result of feedback from a recent clinical safety report and are designed to help clinicians make safer, better-informed decisions, leading to better patient outcomes.

This product release is scheduled for  Monday 30th September 22:30 GMT (UK/EU) and Tuesday 1st October 02:00 CST (US/Canada). Here's what's coming your way.

SNOMED Code Status Update

For those using SNOMED CT coding, codes that were previously marked as 'Tentative' will now be labelled as 'System Suggested'.

Context:
Meddbase has a built-in integration with First Data Bank, which offers a centralised drugs database containing over 70,000 drug products and packs for prescribing. First Data Bank also provides Clinical Decision Support (CDS) through their Multilex Engine, which helps flag drug-to-drug interactions, contraindications, and allergy warnings during prescribing.

When clinicians type into a Clinical Form field, Meddbase’s Natural Language Processing (NLP) engine automatically maps the entered text to SNOMED CT codes, which are then used for Prescribing CDS. Any SNOMED matches made by the system appear as System Suggested on the patient record. These matches can be reviewed, confirmed (positive confirms a match, minor and major confirms a match and sets a severity level), negated, or deleted by a Clinical User. 
As part of the prescribing process, when a Clinical User selects a drug from First Data Bank, a dialogue box appears, showing relevant warnings such as sensitivity alerts, drug-to-drug interactions, and other warnings triggered by the SNOMED CT codes on the patient record.
Why this matters:
This update from 'Tentative' to 'System Suggested' clarifies that these codes have been automatically assigned by the system, prompting clinicians to review them carefully before confirming. This helps ensure accuracy in CDS alerts for contraindications, allergy warnings, and drug interactions.
 
SNOMED Codes Review Screen

We've introduced a new SNOMED Codes Review Screen that can be activated to help clinicians efficiently manage SNOMED CT codes within Clinical Forms.

  • Features: Clinicians can access the new SNOMED Codes Review Screen from the Patient's Home Page. From there, they can view all recorded SNOMED CT codes, filter codes by status or date, review codes in context, and manually adjust their status (confirm, negate, or delete). To access this screen, clinicians need to navigate to the Medical History section from the Patient’s Home Page. 
  • Recommendation: We highly encourage regular review of this screen to ensure that all SNOMED CT codes are accurate and up to date. Regular use of this screen will help CDS recommendations reflect the most accurate clinical information.

To turn on: Admin > Configuration > Appointment

New Security Permissions

We’re providing more refined control over user access within Meddbase, giving System Administrators the ability to configure permissions more precisely. These updates aim to improve security and operational flexibility.

Document Template Permissions:
System Administrators can now define separate permissions for users who edit Document Templates versus those who edit Documents created from those templates.

  • Impact: Only users who have the ‘Create Document Template’ permission will be able to edit templates. Any user who already has the ‘Create Document Template’ permission will still be able to edit templates after the release.

Site Common Catalogue Permissions
System Administrators can now assign specific permissions for creating Site Common Catalogue entries without needing to grant full System Administrator access. This allows for more focused access control.

Billing Rules Permissions
You now have the flexibility to assign users the ability to create or modify Billing Rules independently of granting them System Administrator access. This provides an extra layer of control over sensitive financial processes.

Page Layout Permissions
System Administrators can configure which users can modify various Page Layouts within the system (e.g., Patient Home Screen, Appointment Home Screen, Company Home Screen), ensuring more customisable workflows.

Document Download Permissions
A new permission allows you to define which users can download documents from a patient’s record, separately from those who can modify the Patient Medical Record. This provides an added layer of privacy and security around sensitive data.
 
New Site Dropdown for Invoices

In the upcoming release, you'll find a new Site selection dropdown when raising invoices, either from the 'Bill company for products and services' or 'Raise bill for products and services' sections on the Patient Home page.

  • Why this matters: This optional step enables more detailed reporting for invoices generated outside of the appointment booking process, providing a clearer picture for multi-site operations.
