Setting up price lists

In this example, we'll be creating two price lists for our self-paying patients.

Our clinic sees two groups of self-payers:

  • Non-members, who are provided a set of services at a standard rate.
  • Members, who are provided additional services and receive a discount on standard services.

First, we'll set up a price list containing our standard rates.

To create a new price list, first go to the Billing Rules page. From the Start Page, click the Admin tile, then the Billing Rules tile.

On the left-hand side of this page is a list of companies and rules. On first visit, it will show 'internal' companies only, but eventually this section will include insurers, employers and other company types.

To add a new price list:

  1. Click the small + icon next to your company name
  2. Click Add rule
  3. Choose New Price List...

Configuration options for the new price list will appear on the right-hand side.

We'll name the price list 'Standard Prices'. Later we'll be setting this as the price list applied for non-members.

You can store price lists and other rules within folders by prefixing the name of the rule with the folder name followed by a forward slash. For example, naming the price list 'Price Lists/Standard Prices' will add the rule within a folder named Price Lists:

This is not essential, but helps to keep your rules organised, especially if you are managing a clinic with multiple sites or specialisms.

You will notice below the name is a checkbox for ‘Provide services with prices?’:

This checkbox sets whether or not the services can be added to an invoice in addition to having a price. For now, we will leave this box checked.

The Prices Apply When... section allows you to specify when the price lists applies, such as when certain doctors are present or if the appointment is at a certain site. For now we will stick with the defaults, which is to apply the price list regardless of the doctor/role, site, location or tag.

 

In order to add prices for services, go to the ‘Service Prices’ section at the bottom and click ‘Show All’.

A list of categories will be presented containing all the services within your system.

We want to add the following rates:

  • Consultation - £60
  • Health Screen - £0 (since this will be added in combination with a Bronze or Silver module)
  • Health Screen | Bronze - £200
  • Health Screen | Silver - £300
  • Gift Voucher - £50
  • Blood Profile - £30
  • Urine Dip - £20
  • Flu Vaccination - £0

To set these prices, click ‘Add’ to the right-hand side of each group.

Simply type the price and Meddbase will save your changes automatically.

Next, we'll set up a price list for our members.

  1. Click the small + next to your company name
  2. Click Add rule
  3. Click New Price List...

We'll name the price list 'Members Prices' and store it within the Price Lists folder.

We want to add the following rates:

  • Consultation - £0
  • Health Screen - £0 (since this will be added in combination with a Bronze, Silver or Gold module)
  • Health Screen | Bronze - £100
  • Health Screen | Silver - £200
  • Health Screen | Gold - £300
  • Gift Voucher - £50
  • Blood Profile - £30
  • Urine Dip - £20
  • Flu Vaccination - £0

Following the same steps as before, add the prices to the list.
