What is the context?
Meddbase gives users access to a comprehensive platform accommodating various aspects and workflows in Occupational Health. This functionality requires multiple configuration tasks to be completed in Meddbase.

What is the purpose of the article?
The purpose of this article is to show how a Line Manager can find an employee who is not assigned to the department they manage on the OH Referral Portal. This is to enable the manager to make a referral for that employee.
Pre-requisites
The manager has a patient record on Meddbase.
The manager has access to the Referral Portal.
The manager has permissions applied.
The manager does not have Companies or Departments ticked in the Referral Portal Account setting
How to do a Silent Match?
To perform a 'Silent Match':-
- Log into the OH Portal.
- Click Create new case on the left-hand menu.
- Employees that you have made referrals for previously or employees in your department will be shown below the search section.
- To find an employee, you have not referred before, you will have to perform a Silent Match. This is when the manger types specific correct data into the search section and the employee is found. If the manager does not have the correct details, they will not be able to locate the employee record.
- Type the details into the search fields and click Search.
- Below the search section, it states ‘No patient found. Search again or Click here to register a new employee'.
- Click on ‘Click here’.
- A larger data form will appear and the previously filled-in details will populate so they don’t have to be typed again.
- Fill in any mandatory fields* that are not filled in.
- There are 5 fields that need to match exactly for a Silent Match to complete successfully:

- Employee Number
- First Name
- Surname
- Work Email Address
- DOB

- Once the fields are filled click ‘Create new patient’
- In the blue box you will seeing the employee has been chosen
- Pick the appointment.
*Please note: Additional fields may be mandatory on the patient create page i.e Title, Phone Number and Address. These fields do not have to have the correct details for the employee to be found. If the 5 fields listed above are perfect matches the employee will be found. |
Please note: If the DOB is slightly wrong the portal will prompt the manager to check the DOB. |
